Since we always seem to be inspired by the events going on around us, we decided to do this week’s blog with a Thanksgiving theme.
Here are the reasons you should be thankful for enterprise content management (ECM).
#1: Compliance
The number one reason why most firms or organizations implement an ECM. Information Governance initiatives and compliance with these initiatives or other standards are what makes an ECM shine. It can transform the word of the IG officer into an automatically upheld process. So if the day comes that content is audited or subpoenas are given, everything will be in order. ECM’s uphold compliance in a number of ways, they ensure that security and permissions to documents are upheld so that only the appropriate users can access sensitive content, as well as they keep track of everything that has happened to that document so that if need be a record has been kept.
#2: Version Control
How many times have you been digging through documents trying to find the latest version? Thankfully for ECM, you can avoid digging through a mess of versions. ECM systems allow users easy access to the latest versions of documents with little backend work. Version control also helps with upholding compliance by giving you a trail to follow. It also enables you to revert versions if need be. In addition to that, with version control, you have a record of the content created at each stage of its life.
#3: Metadata
Let’s just say metadata is your best friend. One of the key elements of metadata is that it makes documents more searchable. You can add additional fields to describe the case, customer, or other important elements of the document so that it can be easily found. Metadata is also smart enough to signify when any content has been updated within a document and update itself.
So this Thanksgiving, be sure to remember these things about ECM. Without ECM, we would spend way more time looking for documents than we need to!
